Fleet

Vehicles, transport TMS (dispatch, optimize, visibility, carrier network, settlement), freight orders, multi-leg, tenders, rates, CMR, fuel and compliance. Part of the Core entitlement.

Part of the Core module — available to every company. Driver access is a separate right (Driver role). Transport dispatcher permissions cover freight orders, trips, rates, CMR, carrier tenders, carrier network and invoicing.

Freight orders (/fleet/freight-orders)

Transport jobs from customers: origin/destination, cargo, price (or rate card), own fleet vs subcontracted carrier. Optional pegging to a sales order or delivery. Status flow: draft → confirmed → in transit → delivered (with events recorded). Print or upload signed CMR. Tracking fields (ETA, external ref, last carrier status) update from visibility and inbound connector events.

Once a load is invoiced, settled/accepted, or has a signed CMR, it cannot be edited or deleted from the form — use transition, invoice, settle, chargeback, or CMR actions instead. The person who created the freight order cannot settle or post chargeback on it (another user with permission must).

Multi-leg

A freight order can be split into legs (API: /fleet/freight-orders/:id/legs, including batch PUT …/legs/replace). Each leg has its own origin/destination, dates, own-fleet trip or subcontracted carrier, and price/cost. Order totals roll up from active legs — hub hops or mixed own-fleet + carrier execution.

Dispatch (/fleet/dispatch)

Load building board: unassigned own-fleet loads vs open trips. Suggestions score date window, remaining weight/pallet capacity, and city overlap. Assign one load, auto-assign fits on a trip, or run Optimize plan to pack loads by lane affinity and capacity (overflow is flagged for tender).

Visibility (/fleet/visibility)

Live track & trace for confirmed / in-transit freight: last event, ETA, delay flags, own-fleet trip or carrier.

Carrier network (/fleet/carrier-network)

Preferred lanes (carrier × corridor), connectors (manual / email / webhook / EDI stub), and on-time scorecards from delivered subcontracted history. Opening a tender invites matching preferred carriers and pushes via their connector.

Carrier tenders (/fleet/freight-tenders)

Carrier tendering against supplier partners:

  1. Create a tender on a freight order (optional: scope to one leg).
  2. Open it — preferred lane carriers are invited automatically — then record bids (amount, transit days).
  3. Award the winning bid — the freight order becomes subcontracted with that carrier and cost; other bids are rejected. The creator of the tender cannot award it (another user with permission must).

Draft tenders can be edited or deleted; awarded or cancelled tenders cannot. Open tenders can be cancelled.

Settlement (/fleet/settlement)

Freight audit: expected buy cost vs carrier bill / subcontract cost, with variance exceptions.

Settlement actions on each row:

  • Accept — mark variance accepted
  • Dispute — flag for carrier follow-up
  • Settle + chargeback — optional carrier AP bill, then charge freight to customer invoice or COGS (GL), driven by the rate contract chargeback mode

Trips (/fleet/trips)

Plan truck + trailer + driver, attach freight orders, track start/complete with odometer, and capture trip costs (fuel, tolls, other). Drivers see their trips in the Drivers app. Completed or cancelled trips cannot be edited or deleted — use trip transition actions while the trip is open.

On a trip detail, Optimize stops runs multi-stop routing (nearest-neighbour + 2-opt) on destination coordinates (explicit stop coords, partner/location, warehouse depot, or city centroid) and reorders trip_position.

Transport rates, contracts & invoicing

  • Rate contracts (/fleet/carrier-rate-contracts) — buy/sell carrier or customer freight contracts with chargeback mode (none / customer / cogs) and %; link rates to a contract so freight orders inherit chargeback rules.
  • Rates (/fleet/transport-rates) — route / km / pallet / ton tariffs on the sell (customer) or buy (carrier) side; optional fuel surcharge % and accessorial map; optional link to a rate contract. Quote API can return a ranked rating engine result (engine=true) with sell/buy options and implied margin.
  • Invoicing (/fleet/transport-invoicing) — invoice delivered loads (single, bulk, monthly); carrier bills for subcontracted work.
  • Profit (/fleet/transport-profit) — revenue vs own-fleet costs and carrier costs by trip, vehicle, driver or customer.

Vehicles (/fleet/vehicles)

Register with plate, VIN, type, payload/pallet capacity, odometer, assigned driver, registration / inspection / insurance expiry. Used on trips, cargo manifests, work orders and agriculture operations.

Truck + trailer (/fleet/combinations)

Couple a tractor unit with a semi-trailer (and optional default driver) for trip planning.

Service Schedules (/fleet/service-schedules)

Preventive maintenance intervals per vehicle, by date or odometer; due services appear in Compliance and Control Tower.

Fuel (/fleet/fuel)

Fuel purchases per vehicle with litres, cost, odometer → consumption and cost per litre/km.

Permits & documents (/fleet/transport-documents)

CEMT permits, licences, tachograph cards and other driver/vehicle documents with expiry alerts. Documents with an issued on date cannot be edited or deleted.

Compliance (/fleet/compliance)

Upcoming registration, inspection and insurance deadlines plus services and transport documents that are due.
