Procurement

Enterprise procure-to-pay — punchout catalogs, ASNs, PO acknowledgement, 4-way match with GR/IR clearing, category management and savings, plus RFQs, tenders, OCR invoices and scorecards.

Available with the Procurement module. Approvals are a separate right per role.

Flow (/procurement/flow)

Live pipeline: requests → RFQs/tenders → orders → receipts → invoices → paid. Click a stage to filter, spot stuck documents, drill into a chain.

Punchout catalogs (/procurement/punchout)

Connect supplier web shops with OCI or cXML punchout. Start a session from Uktupus; the supplier cart returns to a purchase request (lines matched or stubbed by vendor part number).

Purchase Requests (/procurement/purchase-requests) — PRQ

Internal request for materials or services. Statuses draft → submitted → approved → quoting → converted | rejected | cancelled.

  • Lines can come from Internal Catalogs or punchout.
  • Approval workflow by amount.
  • From an approved request: Start RFQ / Tender or Convert to Order.
  • Cancel sets the status when the order has no posted receipt or invoice. Reopen returns a cancelled or rejected order to draft when nothing has been posted against it. Changing the supplier on a confirmed order is blocked. Changing a line price, quantity, or total sends the order back for approval when purchase-order approval is required, and approving it again reserves the new total. Without that workflow the change is kept and recorded in the audit log. A difference between the receipt exchange rate and the invoice exchange rate posts to foreign-exchange gain or loss.

Supplier collaboration (opt-in)

Company default lives on Procurement → Supplier Network: Require supplier acknowledgement & ASN when PO is confirmed. It is off by default so local suppliers without a portal are not blocked.

  • New purchase orders inherit that company default on create.
  • On each PO (Order details), you can turn Require supplier acknowledgement and Require ASN on or off for that order only. Confirm does not overwrite those toggles.
  • PO acknowledgement — when required, the supplier accepts / accepts with changes / rejects in the portal (promised delivery date). Receipt posting is blocked until acknowledged.
  • ASN (/procurement/asns and portal) — when required, the supplier submits an advance shipment notice; buyers create a draft goods receipt from it. Partners can also POST ASN / PO ack / supplier invoices through Settings → Integrations (connector fabric inbound webhook).

Internal Catalogs (/procurement/catalogs)

Approved items with preset suppliers and prices that requesters can pick from — guided buying.

ASNs (/procurement/asns) — ASH

Buyer view of supplier advance shipment notices. Create receipt builds a draft goods receipt from ASN lines (lots, ETA, tracking). The shipped quantity is not copied onto the receipt.

Goods receipts (/procurement/goods-receipts)

A receipt created from a purchase order or an ASN lists the products and leaves the quantity blank. The receiver counts what arrived. The ordered quantity is not shown on the draft and is not copied onto the line. While the receipt is still a draft, the purchase order code is shown as text so the count screen does not open the order. A blank line is left off the receipt when it is posted, and that product stays open on the order. Posting is refused until at least one line has a counted quantity. A count above the open order quantity is refused (error shows ordered, already received, and remaining).

Outside the flow: New goods receipt asks for a reason (saved on the receipt notes), then lets you pick supplier, warehouse, products, counted quantity, and unit cost with no purchase order. The list shows an Outside procurement flow badge. Posting still increases stock (and GR/IR when enabled). Create the purchase invoice from the posted receipt afterward — preferred for stocked goods over a standalone invoice that also moves stock.

Invoice matching & GR/IR

  • Match modes: two-way (PO), three-way (PO+GR), four-way (PO+GR+quality inspection pass when an inspection exists). Company default is four_way (accounting.invoice_match_mode).
  • Tolerances and match overrides unchanged.
  • GR/IR clearing: posting a stocked goods receipt can post Dr Inventory / Cr GR/IR; posting the linked purchase invoice clears GR/IR to AP (with PPV when invoice price differs). Enable GL posting for document type goods_receipt and map the grir_clearing account (generic chart 2010; North Macedonia pack 2206 — uninvoiced supplier goods). Foreign-currency POs convert both the GR/IR journal and the stock layer unit cost at the order exchange rate (company currency), so inventory GL matches stock value. Converted GR/IR amounts are rounded to cents per line before posting, so fractional quantities or rates (e.g. 61.6953) do not leave a sub-cent residue that blocks the invoice.
  • Reverse-charge purchases (MK foreign services / Art. 32-a): amount due and AP are the net only. Posting also credits output VAT so the ledger matches DDV-04 boxes 12/13 and 23/24.
  • Прием-калкулација: the purchase invoice print is not a copy of the supplier invoice. After the invoice is posted, Orka prints a goods receipt and price calculation (KAL series) with the supplier invoice number and date, delivery note, warehouse, and transporter. Lines show net price, VAT, allocated landed costs in the purchase value, and the selling price from the price list (missing prices are flagged, never printed as 0), plus a VAT recap and a Примил signature. Bank details and payment terms are empty by default on this layout (operators can still fill them in Print Layouts). The goods receipt keeps its own quantities-only receiving note. Document types → Purchase invoice controls this Print after post layout. The footer barcode is the purchase invoice number (PIN); scanning it in Uktupus opens that invoice.

Category & savings (/procurement/category-savings)

Spend categories with owners and annual budgets; savings initiatives with baseline/target and realized amounts (manual or linked later to awards/variances).

Supplier Onboarding (/procurement/supplier-onboarding)

Invite suppliers to the portal, review documents, approve bank-detail changes. Onboarding must be active before POs.

Supplier Network (/procurement/supplier-network)

Ariba-style trading network on Orka:

  • Discover — search discoverable network organizations (platform supplier identity) and Connect (connection request → supplier accept/reject).
  • Connections — local trading relationships (invited / onboarding / pending_supplier / connected, plus suspend/revoke), preferred flag, portal users, EDI badge.
  • Preferred directory — ranked by collaboration score (ack / ASN / invoice match / scorecard).
  • Document inbox + timeline — shared PO/RFQ/ASN/invoice activity and messages.
  • Supplier portal Network workbench (/portal/collaboration): action queues (orders to ack, ASNs due, invoices, RFQs), pending connection requests, register discoverable network profile, multi-buyer list.

Supplier Risk (/procurement/supplier-risk)

Segments, risk scores, assessments, and purchasing blocks. Suggest fills dimension scores from company data where available: compliance from certificates and onboarding, quality and delivery from finalized scorecards and open SCARs, and ESG from the latest accepted sustainability questionnaire (inverted so higher risk means a weaker ESG score). Financial and geographic stay manual defaults until you override them. Finalizing an assessment writes the overall score and level onto the partner and can block purchasing when the level is critical.

RFQs / Tenders / POs / GRs / Invoices / Returns / Contracts / Blankets / Scorecards

Existing mid-market P2P flows remain: sealed tenders, OCR invoice scan, three/four-way match releases, blanket releases, and scorecards. A contract is activated, terminated, or renewed from its dialog. An active contract is not edited in place. A blanket release cannot exceed the contract's remaining amount or the remaining quantity on a contract line.

Supplier storno / credit / debit (PST / PKO / PKZ): same pattern as sales — one-click storno or partial credit/debit against a posted purchase invoice. Reduces (or increases) input VAT on DDV-04 by VAT date; marks the invoice сторнирана when stornoed.
