Mobile & desktop apps
Apps for Uktupus Sales, warehouse, field service, cleaning and drivers, plus the Uktupus Scale weighbridge app. Same company data, same roles.
All apps use your normal Uktupus login; what a person can do comes from their roles.
Uktupus Sales (iOS / Android)
- Create sales orders and sales invoices on the road. Open an order or invoice from its tab to see lines and status.
- New orders are submitted after create (
draft → submitted). Confirmation / fulfillment stays in the ERP (orders are not “posted” like invoices). A draft that failed submit can still be opened and submitted from the order screen. - Home shows the agent’s monthly sales target progress (including shared targets that list several agents). Hitting the target (or closing a month that was on target) triggers a short confetti celebration once.
- On a loaded van trip, invoices sell from the van warehouse with sellable stock checks, customer price list, credit limit / open debt, and cash vs on-account tender. Each create sends an idempotency key so a retry after a network blip does not open a second invoice. After post, share the invoice PDF (email / Viber / WhatsApp share sheet). Bluetooth print and offline queue come later.
- Route returns into the van use good / expired / damaged line conditions (expired/damaged quarantine until unload).
- Documents appear in Sales exactly as if created in the office; the agent is set automatically so own-only visibility works.
Field Service (iOS / Android)
- List of assigned work orders with job details, parts and labour.
- Parts used: search parts with the quantity on hand in your van, add them, change quantity with − / +, enter a lot or serial for tracked parts, remove. Editable only while the job is open.
- Checklists with photos and signatures.
- Start and complete jobs; status flows back to Field Service → Work Orders and Dispatch. Completing takes the parts out of van stock — if the van is short or no warehouse is set, the app shows why and the job stays open.
Cleaning (iOS / Android)
- Tap Log and scan the location QR sticker printed from Cleaning → Locations.
- Each scan records when, where and who; the Today board updates live.
Warehouse (iOS / Android)
- Work the warehouse queue (picks, put-away, replenishment, packing, counts).
- On a stock count with differences, Why the difference? lists the same process-gap hypotheses as ERP (draft outbound/inbound, posted but not dispatched, in-transit transfers, recent movements).
- See sales orders for the active warehouse. Convert a confirmed order to a draft invoice or convert & post in one step.
- Create a sales invoice fully in the app (client, branch, tender, lines) against the active warehouse — Create & post or Save draft, then post from the invoice screen. Stock leaves that warehouse on post. Add lines by Bluetooth/USB barcode scanner (keyboard wedge into the barcode field), camera scan, search, or manual Add item; scanning the same SKU again increases qty.
- On the Stock tab: Receive goods from open purchase orders (count/scan lines, then post; posted receipts can start put-away). Transfer stock out, or Request stock in (draft — only the source warehouse can ship). Open drafts and in-transit transfers from the same tab to ship, verify, or receive. Counts: create a full / cycle / annual stock count from warehouse on-hand (same API as ERP), then start, count/scan lines, explain variance, and post.
- Select posted invoices and create a cargo manifest (vehicle, driver, delivery date). The manifest shows in Sales → Cargo Manifests for the driver.
- Each tap (count, pick, pause/resume, …) sends a new idempotency key — correcting a count from 5 → 6 → 5, or pause → resume → pause, applies every time. Retry after a network blip reuses the same key for that one request.
Drivers (Android)
- Today's route from Cargo Manifests on a map with a stop list.
- Start / complete the journey with turn-by-turn navigation.
- Arrive, take a proof photo, mark delivered; manifest and delivery statuses update in Sales.
Uktupus Scale (desktop)
- Reads the weighbridge, prints weighing tickets, exports to Excel.
- Weighments appear under Inventory → Silage.
